Accounting Specialist

Responsibilities

• Set up new jobs and customers within the accounting system
• Verify client credentials and assist with contractor license renewals
• Reconcile daily electronic payments and deposit activity
• Partner with Project Managers on billing cycles, progress invoices, and retainage
• Manage collection and tracking of lien waivers
• Upload job budgets and format Schedules of Values (SOVs)
• Maintain AR records and investigate past-due balances
• Assist with project compliance documentation, permits, and insurance certificates
• Onboard vendors and ensure compliance paperwork is collected
• Process incoming invoices and subcontractor payment applications
• Match transactions to purchase orders and apply cost codes
• Coordinate bi-weekly check runs and oversee lien release procedures
• Record company credit card activity and service-provider transactions
• Support annual 1099 preparation and year-end financial reporting

Requirements

• 3–5 years of general accounting experience, ideally in construction or contracting
• Proficiency in Microsoft Office (Word, Excel, PowerPoint)
• Strong Excel skills
• Experience with ERP/accounting systems
• Clear written and verbal communication skills
• Ability to manage multiple tasks in a deadline-driven environment

Preferred Qualifications

• Familiarity with NetSuite, ComputerEase, or LevelSet
