Academic Records Specialist

Responsibilities

• Perform day-to-day front-line operations for the Registrar's Office, including answering phones and managing office email and calendars.
• Process official and unofficial academic transcripts, degree/enrollment verifications, and diplomas.
• Manage student registration, including adding, dropping, or withdrawing student classes and managing non-degree seeking student registration.
• Maintain the integrity and accuracy of student records in the database, correcting discrepancies as needed.
• Serve as the secondary School Certifying Official (SCO) to support military-connected students using VA and DoD education benefits.
• Ensure strict adherence to FERPA, accreditation standards, and University policies regarding data confidentiality.
• Scan student records and maintain office equipment and supplies inventory.

Requirements

• Associate’s degree required.
• Two years of related work experience in records and registration, or an equivalent combination of education and experience.
• Proficiency in Microsoft Office applications.
• Experience using student information systems (e.g., Ellucian Colleague).
• Strong knowledge of FERPA regulations.
• Ability to handle confidential and sensitive information with high attention to detail.

Preferred Qualifications

• Previous experience working in a higher education environment.
• Experience with VA/DoD education benefit processes and enrollment certification.
