About the role
Responsibilities
- Provide administrative and operational support to the Academic Affairs Division, including greeting visitors and directing phone calls.
- Coordinate meetings, events, and divisional activities, including managing logistics and preparing materials.
- Support leadership by preparing, transcribing, and distributing meeting minutes.
- Manage and maintain confidential records, files, and correspondence, including digitizing physical files to digital formats.
- Handle divisional communications, maintain faculty distribution lists, and draft correspondence for the supervisor.
- Maintain accurate financial records, including preparing purchase requisitions, invoices, and reimbursements.
- Manage office supply inventory and update college governance committee records in electronic systems.
Requirements
- Associate's degree.
- Three years of prior client service experience.
- At least one year of office or business support experience involving high-volume inquiries, event scheduling, and record maintenance.
- Proficiency in Microsoft Office Suite and administrative software.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Excellent communication and interpersonal skills.
Preferred Qualifications
- Previous administrative experience within a Community College setting.
- Bilingual proficiency in English and Spanish.
