About the role

Responsibilities

  • Provide administrative and operational support to the Academic Affairs Division, including greeting visitors and directing phone calls.
  • Coordinate meetings, events, and divisional activities, including managing logistics and preparing materials.
  • Support leadership by preparing, transcribing, and distributing meeting minutes.
  • Manage and maintain confidential records, files, and correspondence, including digitizing physical files to digital formats.
  • Handle divisional communications, maintain faculty distribution lists, and draft correspondence for the supervisor.
  • Maintain accurate financial records, including preparing purchase requisitions, invoices, and reimbursements.
  • Manage office supply inventory and update college governance committee records in electronic systems.

Requirements

  • Associate's degree.
  • Three years of prior client service experience.
  • At least one year of office or business support experience involving high-volume inquiries, event scheduling, and record maintenance.
  • Proficiency in Microsoft Office Suite and administrative software.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion.
  • Excellent communication and interpersonal skills.

Preferred Qualifications

  • Previous administrative experience within a Community College setting.
  • Bilingual proficiency in English and Spanish.
