Job Description

Responsibilities

  • Establish and maintain a library of reference documents, ensuring compliance with quality standards.
  • Coordinate the flow of technical documents (requisitions, data books, drawings, specifications, calculations) between engineering, projects, proposals, and related support groups internally and externally.
  • Type, copy, distribute, and file project correspondence and meeting minutes.
  • Assist in creating minutes for meetings with project managers and directors.
  • Prepare operations manuals and job data books, ensuring timely printing, reproduction, and assembly.
  • Arrange document cataloguing, packing, long-term storage, or disposal at project closeout.
  • Prepare transmittals for engineering documents and requisitions.
  • Establish and maintain files and computerized indexes for active engineering documents; generate reports as needed.
  • Maintain data distribution systems and schedules based on project/client requirements.
  • Perform office administration duties including office well-being, maintenance requests, and materials orders.
  • Maintain lists of office furniture and site office equipment, monitoring and updating as required.
  • Support the office secretary and collaborate with project administrators and managers to achieve team goals.
  • Assist in arranging social activities as requested by management.

Requirements

  • 5 years document control experience (engineering/construction)
  • Diploma (any field of study)
  • Proficiency with large-scale Document Control management software (e.g., ACONEX, Prolog)
  • Proficiency with Microsoft Office suite (Excel, Word, PowerPoint)
  • Proven accuracy, reliability, and completeness
  • Effective oral and written communication skills
  • Familiarity with document control hardware/software (scanners, OCR)
  • Ability to compose reports/correspondence in English
  • Detail-oriented and highly organized

Preferred Qualifications

  • Relevant certifications or training (document control)
  • Experience on major engineering/construction projects
  • Demonstrated growth and responsibility in previous roles
  • "Can-do" attitude with proactive, results-oriented focus
