Conference Manager

Responsibilities

• Oversee scientific program management: agenda development, session scheduling and alignment with objectives
• Coordinate with faculty, moderators and scientific committee for abstracts, presentations and session details
• Liaise with marketing, operations, design and production to align deliverables and branding
• Manage speaker logistics: travel, accommodation, honoraria documentation and on-site hospitality
• Compile and proof conference documentation: session guides, speaker bios, program booklets
• Oversee on-site operations: registration, session management and schedule adherence
• Maintain communication with clients, scientific partners and stakeholders
• Support post-event reporting, data collection and debriefing
• Assist budget management and cost tracking
• Manage year-round activation of multiple events under the same IP

Requirements

• Minimum 6 years experience in conference or event management, preferably medical/scientific/healthcare
• Proven program coordination and speaker management experience
• Strong client servicing and stakeholder communication skills
• Excellent organizational, multitasking and attention to detail
• Familiarity with association/society-led events and CME processes (advantage)
• Proficient in Microsoft Office and project management tools
• Ability to work under tight deadlines and fast-paced environments

Preferred Qualifications

• Experience with medical or healthcare conferences
• Experience managing multi-day scientific programs
• Knowledge of CME accreditation processes
• Prior experience coordinating international faculty and logistics
• Background in on-site event operations and production
