Job Description

Responsibilities

  • Enhance the effectiveness and productivity of the Product Development (PD) team by supporting daily functions as needed
  • Maintain discretion and confidentiality on all projects and product development activities
  • Receive, track, and label all incoming product and packaging samples (lab submissions, standards, sprays, etc.)
  • Organize and maintain sample closets, product libraries, and project bins
  • Archive formulas from contract manufacturers for future reference
  • Prepare and organize sample sets for internal evaluations, cross-functional meetings, and supplier reviews
  • Coordinate shipments to and from suppliers, labs, and warehouse partners (including booking, tracking, and customs follow-up)
  • Assist in preparing and delivering submission kits for Mona, ensuring accuracy and timeliness
  • Conduct internal smelling sessions and gather feedback
  • Prepare sample trays and meeting materials to assist in setting up meeting rooms
  • Support during in-person and virtual product review sessions by managing samples and collecting feedback
  • Consolidate feedback and notes from internal sessions into structured recap documents
  • Update and maintain samples trackers and evaluation results
  • Assist in the preparation of product fact sheets and documentation to support innovation presentations
  • Support team projects and handle ad hoc tasks to ensure the smooth running of operations

Requirements

  • 2–3 years of experience in coordination, operations, or administrative support (experience in beauty or fragrance is a plus)
  • Meticulous attention to detail and strong organizational skills
  • Ability to manage multiple priorities with accuracy under tight deadlines
  • Proficiency in Microsoft Office (especially Excel, PowerPoint and Outlook)
  • Strong organizational skills with attention to detail and the ability to work in a fast-paced environment
  • Team-oriented with a hands-on and proactive mindset
  • Excellent communication and interpersonal abilities
  • Passion for the beauty industry and eagerness to learn and grow within product development
